RegistrationConference fee

To provide extensive networking opportunities, the conference fee includes participation in the conference, lunches, coffee breaks, and the welcome reception.

The flat-rate conference fee is 2 500 PLN for all participants, including tax.

The fee will increase by 430 PLN after October 5, 2026 – the early registration deadline – and by an additional 430 PLN after October 26, 2026 – the regular registration deadline.

Participants may also add A0 poster printing to their registration for 120 PLN, including tax. To use this service, please send your poster as a PDF file to the organisers by November 20, 2026.

RegistrationProcedure

Fill out the registration form. You can access it by clicking here (opens in a new tab).
You can choose if you want to pay directly with credit card (PayNow) or by bank transfer.
If you select PayNow payment, after completing the form you will be directly forwarded to a PayPal webpage to process the payment.
If you select a bank transfer, please send the bank transfer up to 14 calendar days after completing the form. Otherwise your registration will be cancelled. If you need more time, we encourage you to contact us by letting us know by email at aixmat@candela.org.pl. Please specify the pro forma number that we generated in the registration system in the title of the bank transfer (you will receive it by email after completing the last steps of the registration).
You will be also asked if the invoice for your participation should be issued for an organization (e.g. university) or for a physical person (e.g James Maxwell). Please note, that it is not possible to change the invoicing data after receiving the payment.
If you select bank transfer, please note that all bank and transfer fee must be covered by the sender.
After completing the form you will receive a confirmation of submitting the form and confirmation of processing the payment. If you don’t receive it (please check your SPAM folder first), please contact us with details of the process.
Once we receive the payment, you will be notified about it in 2 working days.
Up to 7 working days after receiving the payment, the Candela Foundation will send you an invoice. The invoice will be delivered by email using the address submitted in the registration form.
Kindly note that we require payment of the conference fee before the event. In case of missing payment, you will be asked to settle it during registration by card payment.

Payment for the conference fee can be made by:

bank transfer, or
debit and credit card (managed by PayNow).

The conference fee is declared in PLN, but we can also accept bank transfers in EUR and USD. To convert your registration fee, please fill out the registration form by choosing “bank transfer” as payment method, complete the registration form and contact us afterward (aixmat@candela.org.pl). Based on the information from the registration, we will issue a pro forma in EUR/USD based on the recent exchange rate (published by National Bank of Poland).

For registrations procedure initiated after October 26, 2026, in particular for on-site registrations, we will accept only card payments. We cannot accept payment in cash.

Bank Wire Transfer and other related fees should be paid by the registrant (please verify carefully during the wire transfer payment that all costs are charged to you).

Cancellation and refunds

Refunds are possible in the full amount for the cancellations requested before September 25, 2026. Refunds are possible in the amount of 50% of the sum paid for the cancellations requested before October 25, 2026. After this date, the refunds are not possible.
